Executive & HR Assistant

Superb Distributors INC (SDI), a thriving local business focused on professional growth and excellence, is seeking to hire a suitably qualified individual to serve as an Executive & HR Assistant.


Job Summary:

The Executive & HR Assistant is responsible for providing high-level administrative support to the Managing Director and Business Development & Operations Manager, while acting as a vital bridge between staff and management.


Key Responsibilities & Activities:

Executive Support Responsibilities

  • Manage the Managing Director’s schedule and business-related travel arrangements.

  • Prepare correspondence, reports and presentations.

  • Organize and coordinate logistics for key meetings.

Human Resources and Employee Records

  • Update and maintain HR software and employee records.

  • Manage employee leave records.

  • Provide recruitment and onboarding support by posting job advertisements, managing the application pool, and coordinating interview logistics and onboarding procedures.

  • Assist in developing and reviewing operational policies and procedures.

  • Coordinate activities for relevant staff engagement.

  • Coordinate performance management system to ensure compliance.

  • Respond to basic/routine employee queries in accordance with approved HR policies.

  • Monitor and report on employees’ adherence to occupational safety and health policies.

Operational Support

  • Handle customer inquiries and complaints directed to senior staff.

  • Ensure employees are informed of all marketing or promotional campaigns.

  • Assist in the coordination and execution of special projects.

  • Manage and account for office supply issuance.

  • Conduct occasional responsibility related errands.


Minimum Requirements - Qualification, Knowledge, Skills and Experience:

Qualification (education):

  • Associate degree or similar level qualifications in Office Administration, General Administration, Business Administration, Communication, or related fields

  • Bachelor’s degree in similar field preferred.

  • Certificate or Diploma in Human Resource Management or similar field.

Knowledge:

  • Sound understanding of maintaining excellent customer relations and standard office and business procedures.

  • Good understanding of Basic HR Management and Development practices.

  • Familiarity/knowledge of an HRIS/HRMS will be an asset.

Skills (Technical/functional/behavioural):

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite

  • Excellent interpersonal skills such as communication (written & oral), empathy, conflict resolution/problem-solving, team-building, and emotional intelligence

  • Excellent time management, organizational, and follow-up skills.

  • Strong notetaking, report writing, and record/file/data management skills.

  • Accountable, trustworthy, and  confidential

  • Proactive/initiative-taker, assertive, and detail-oriented

  • Excellent learning appetite

  • Ability to perform effectively under stressful conditions.

  • Ability to work along with an external HR Consultant.

Experience:

  • At least three (3) years’ experience performing similar duties.
