Procurement Manager

Job Summary:

The Procurement Manager plays a critical role in ensuring the successful delivery of projects by sourcing, purchasing, coordinating, and managing materials, furnishings, finishes, equipment, and services in a timely and cost-effective manner while maintaining the highest standards of quality and design integrity. This individual will be a key contributor to the successful execution of projects, helping transform design concepts into reality through strategic sourcing, efficient coordination, and exceptional attention to detail.


Key Responsibilities:

Procurement & Purchasing Management

  • Manage the complete procurement lifecycle from planning and sourcing through purchasing, logistics coordination, delivery, and project close-out.

  • Develop and implement procurement strategies that support project schedules, budgets, and design requirements.

  • Obtain and analyze quotations, proposals, samples, and technical information to ensure best value and suitability.

  • Prepare, review, and issue purchase orders, procurement schedules, and supplier agreements.

  • Negotiate pricing, payment terms, delivery schedules, warranties, and contractual conditions to achieve optimal value for the company and clients.

  • Monitor inventory levels and ensure efficient stock management where applicable.

  • Ensure all procured items meet required quality and design specifications.

  • Maintain accurate records of purchases, contracts, and supplier communications.

  • Identify opportunities for cost savings, value engineering, and procurement process improvements without compromising design intent or quality standards.


Architectural & Construction Coordination

  • Review and interpret architectural drawings, construction documents, specifications, schedules, and design packages to accurately identify project procurement requirements.

  • Assist project teams in evaluating material selections, finishes, fixtures, furniture, equipment, and specialty products.

  • Coordinate with contractors and consultants to ensure materials and products are delivered according to construction schedules.


Interior & Design Material Sourcing

  • Source furniture, fixtures, equipment (FF&E), finishes, decorative elements, lighting, appliances, and specialty products for residential, commercial, hospitality, and mixed-use projects.

  • Maintain awareness of current architectural and interior design trends, materials, finishes, and innovative products relevant to the Firm's projects.

  • Evaluate products based on aesthetics, quality, durability, functionality, lead times, and budget considerations.


Supplier & Vendor Management

  • Build and maintain strong professional relationships with local, regional, and international suppliers and manufacturers.

  • Establish and maintain a reliable supplier database and procurement network.

  • Resolve supplier-related issues, disputes, delays, shortages, and quality concerns in a timely and professional manner.


Logistics & Delivery Coordination

  • Coordinate shipping, freight, customs documentation, importation requirements, and delivery logistics where applicable.

  • Monitor inventory levels and storage requirements when applicable.

  • Anticipate procurement risks and implement proactive solutions to minimize project delays.


Documentation & Reporting

  • Maintain accurate and organized procurement records, including purchase orders, contracts, quotations, invoices, delivery notes, warranties, and supplier correspondence.

  • Develop and maintain procurement tracking systems and reporting tools.

  • Prepare regular procurement status reports for management and project teams.

  • Monitor procurement performance metrics and recommend improvements to procurement procedures and workflows.

  • Ensure procurement activities comply with company policies, project requirements, and industry best practices.


Minimum Requirements – Qualification, Knowledge, Skills, and Experience:

Qualification (Education):

  • Bachelor's Degree in Supply Chain Management, Procurement, Business Administration, Construction Management, Architecture, Interior Design, or a related field.

Knowledge:

  • Knowledge of international sourcing, shipping, logistics, and importation processes.

Skills (Technical/Functional/Behavioural):

  • Strong negotiation, vendor management, and contract administration skills.

  • Ability to manage multiple projects and deadlines simultaneously.

  • Excellent organisational and time management abilities.

Experience:

  • Strong background in architecture, construction, interior design, or the building industry.

  • Experience within an architectural, construction, engineering, or interior design firm.

  • Experience with procurement management systems, project management software, inventory systems, or related digital platforms.

  • Proven experience in procurement, purchasing, supply chain management, or a related role.

  • Drafting experience and a strong understanding of architectural plans and project documentation.
